What can my AI assistant do on my gym's website, and what can't it do?
It can change your schedule, closures, hours, coaches, special events and photos, and report totals. It cannot touch payments, customers, staff or your domain.
The connector gives your assistant a short, fixed list of things it may do. It is built so a mistake is small and easy to take back.
Before you begin
- Connect your assistant first. See How do I connect ChatGPT or Claude as my AI assistant?.
Steps
You do not need steps. You just ask in plain words. Here is what works.
It can read
- Your gym overview: name, address, hours, pages, and how many schedule entries, coaches and photos you have.
- The weekly schedule, closures and one-day changes, coaches, special events, and the photos you uploaded through the assistant.
- Website visits (7 days, 28 days, 90 days or 12 months): how many visited, where they came from, which pages they read and what they did.
- What to improve on the website, worked out from real visits.
- Membership numbers and growth, and registration counts for upcoming competitions. Totals only.
- The History of changes, a line-by-line comparison, and what a part of the site looked like on an earlier date.
It can change
- The weekly schedule: add, change or remove a class or session, and the note above the schedule.
- Closures (one day or several) and one-day schedule changes, and take them off again.
- Opening hours for a day.
- Coaches: add, update (name, role, bio, highlights, link) or remove one, and their photos.
- Special events such as camps and Parents' Night Out, with online sign-up and a flyer.
- Photos: add, describe, move to another place on the site, take off the site. See How do I add photos with my AI assistant?.
- Put an earlier version back (owners only). See How do I undo something my AI assistant changed?.
It can't
- Take or refund payments, or change memberships, prices or Stripe.
- See or change customers, registrations or signed waivers by name.
- Add or remove staff, change your web address, or publish or unpublish the site.
- Change the design or add code. Also not competitions, pages and the menu: do those in the back office. The assistant can look up the Help Center article and walk you through it.
What you'll see
- Before saving, the assistant says what will change and asks "Shall I save that?" For bigger changes it can first show the result without saving (a dry run). You can ask for that: "show me what that would look like first".
- After saving, it tells you what changed and that visitors see it within about a minute.
- Every change is saved in History as your name "via" the app.
- Removing a coach, a photo or a special event, and restoring an earlier version, need a clear yes first.
Troubleshooting
"That's a lot of changes in one hour." The site pauses changes for a little while to protect it. Try again later, or use the back office.
It says it can't do what I asked. It is probably outside the list above. Use the back office, or ask it how: it can answer from the Help Center. See Can my AI assistant answer questions about how to use NinjaHQ?.
It guessed a time or a name. Tell it the right one and ask it to fix it, or undo the change from History.
Questions
Will it change things without asking?
No. The assistant is told to say what it will change and ask before saving. Removing a coach, a photo or a special event, and restoring an earlier version, need an explicit yes.
Can it see my customers' names or emails?
No. It sees totals only: visits, membership numbers and registration counts. Never a customer's name or contact details.
Is there a limit?
Yes. Changes are limited to 120 an hour per gym, to protect the site. If you reach it, wait a little while.
