How do I track and pay a vendor whose products I sell?

Some products belong to someone else, such as shirts printed by a vendor. Vendors tracks every sale of those products, online or at the front desk, so you always know what you owe.

Before you begin

• Only owners can see and change Vendors.

Steps

Add the vendor

1. Open Vendors and open Add a vendor.
2. Enter the Name and, optionally, an Email for Statements.
3. Set Their Share of Each Sale (%): 100 means all of it, 80 means the gym keeps 20%.
4. Set Card Fee They Carry (%): taken off card sales only. 0 means the gym absorbs card fees.
5. Press Save.

Tie products to the vendor

1. Open the product in Products.
2. In the Owned by card, choose the vendor instead of your gym, and save.

Pay the vendor

1. Open Vendors and click the vendor's name. It shows what is owed now, items sold since the last payout, and a list of the sales (day, item, how it was sold, sale and their share).
2. Pay the vendor outside NinjaHQ.
3. In the Mark ... as paid card, pick How You Paid, add an optional Note (such as a check number) and press Mark paid. Confirm.

Every sale listed is closed as one payout so nothing is paid twice. Payouts are listed under Payouts. Download the statement (CSV) gives the full history.

What you'll see

On the 1st of each month, a vendor with an email on file gets last month's statement by email, with a copy to the owners.

Troubleshooting

A sale is missing. The product must have the vendor in Owned by before the sale. Earlier sales are not added afterwards.

Edit the vendor's share. Open the vendor, then Edit under their name, change the numbers and press Save.
