How do I see upcoming parties and cancel and refund one?

The Parties page lists every party booked and paid on your website, in date order, with everything you need on the day.

Before you begin

• Only owners can refund. Owners and managers can see the list.

Steps

See the parties

1. Open Parties.
2. Upcoming parties is open by default. Press Past to see earlier parties.
3. Each row shows the date and time, the package (with any upgrade and the number playing), who is being celebrated and their age, the parent's name, email and phone, any notes the family wrote, and what was paid including tax. If a deposit was taken, it shows how much is due at the gym.

Cancel and refund a party

1. In the party's row press Refund.
2. The box shows the package, the amount that goes back to the card and what happens. Press Refund and cancel.

What you'll see

• The money goes back to the family's card, the time opens up again so someone else can book it, and the family is emailed.
• The row now says Refunded.
• A booking creates, in the family's Contacts, a contact with a "birthday party" tag.

Troubleshooting

The Refund button is missing. Only owners see it, and not for a party that is already refunded.

A party I took by phone is not here. Only online bookings are listed. To get photos and review requests for it, add it under "A party that wasn't booked online" on the Reviews page.

The balance due at the gym is not collected for me. The rest of a deposit party is paid at the gym on the day. Use Take a payment at the desk.
