How do I refund a competition registration?
Open the competition, press ⋯ on the athlete's row and choose Refund through Stripe. The card is refunded, the spot freed and the family emailed.
Use a refund when an athlete cannot compete. A refund sends the money back to the card the family paid with, frees the athlete's spot in their division and takes them off the count.
Before you begin
- Only owners (and managers, who act as owners here) can refund.
- The athlete must have paid online through Stripe. Athletes you added by hand (comped or paid at the gym) have no card payment to send back.
Steps
- Open Competitions and press the competition.
- In the Registrations grid, find the athlete (see find an athlete) and press ⋯ on their row.
- Choose Refund through Stripe.
- Read the box that opens. It shows the amount and says what will happen, then press the Refund button with the amount on it.
If you already gave the money back another way (cash, a check, or directly in your Stripe dashboard), choose Mark manually refunded instead. No money moves and the family is not emailed. The spot is released the same way.
What you'll see
- The athlete's Payment cell shows the refunded amount, or a Refunded tag, and they come off the registration count.
- With Refund through Stripe, the family gets an email confirming the refund.
Troubleshooting
I only see Mark manually refunded. Refund through Stripe only appears when the registration was paid through Stripe and your Stripe account is connected.
The athlete's row has no refund buttons. Hand-added athletes do not have them. Use Remove on the row instead.
The refund failed. The message on screen comes from Stripe. If it keeps failing, check your Stripe dashboard for the payment, or refund it there and then use Mark manually refunded so NinjaHQ matches.
Questions
Does the family get their processing fee back?
No. Stripe keeps its original processing fee. The rest of the entry fee goes back to the card.
How long until the money shows on the family's statement?
The refund dialog says it usually shows within 5 to 10 business days, because Stripe and the bank process it.
Can a manager do refunds?
Managers have an owner's rights in the areas they can open, so yes. Front desk staff cannot.
