How do I assign a party coach and track coach review bonuses?

Families like knowing who ran their party. Choose the party's coach and their name, photo and your note go in the family's email and on their photo page. If you reward coaches for Google reviews, this is also where you keep track.

Before you begin

• Your coaches need to be added on the Coaches page, with a name and a photo.
• Bonuses are pay, so only owners can change the amounts or confirm and mark them paid.

Steps

Choose the coach and write a note

1. Open Reviews, find the party in the Parties list and press Open.
2. Choose The Party's Coach from the list. Their name, photo and note go in the family's email and on their photo page.
3. Choose Their Back-Office Account (Gets the Photo Reminder), the staff member who gets reminded to upload photos. Leave it on "Match by name" to match the coach by name.
4. Write The Coach's Note to the Family: a line or two about their party, such as who nailed the warped wall. Left empty, the sample note shown in the box is used.
5. Press Save.

Set up bonuses (owners)

1. On the Reviews page scroll to Party coaches.
2. Set For Every Review ($) and Extra for 5 Stars ($). Enter 0 and 0 to switch bonuses off. Press Save.
3. When a Google review is matched, it appears under Reviews credited as pending. Press Confirm if it is right, or Not this party if not. After you pay the coach, press Mark paid.

What you'll see

• The scoreboard lists each coach's parties in the last 90 days, reviews, 5-star reviews, this month's bonus and how much is still to pay.
• A matched review is credited within 21 days of the first review request, once, whatever the stars. The coach is emailed.
• The For your coaches: the rules box reminds coaches that every party review earns a bonus and 5 stars earn extra, that families are not to be asked for a particular rating, and that reviews from friends and family do not count.

Troubleshooting

The party's coach list is empty. Add coaches on the Coaches page first.

A review is not matched to a party. Reviews are matched by the parent's name or the coach's name in the review. If it cannot be matched, it will not be credited.

I cannot change the bonus amounts or press Confirm. Those controls are for owners only. Managers see the scoreboard.
