How do I partner with nearby schools and their PTAs?
In Marketing > School partners add a school, send the invitation to its PTA, and share its family page. You donate for each new family who signs up for a camp.
School partners lets you invite the PTA of a nearby school to share your school-break camps. Each school gets two branded pages: one for the PTA with the program and terms, and one for families with the school's break days and your camps.
Before you begin
- Only owners use this page.
- Set your gym's location in Settings, so nearby schools can be found.
Steps
- Open School partners. Open How to reach schools (what works) for advice: start with the PTA, time it with the school calendar, one email plus at most one follow-up.
- Under Your donation choose A percentage of the first camp or A flat amount per new family, fill in Percentage (%) or Or Flat Amount ($), and Paid Out (when you pay), then Save.
- Open Add a school. Choose a school near the gym, or Another school (type it below).
- Add the Contact Name, Their Role, Contact Email and a School Color. Use the school's public PTA or office address, never a parent's personal contact. Press Add the school.
- In the school's row press Open. Use Send the invitation to email the PTA. You are copied and replies come to you, with your address and an opt-out in the email. There is a limit of 2 invitations per school in 30 days.
- Share the Family page link with the school's families, or the PTA does with the ready-to-paste text on its page.
What you'll see
Each partner row shows its status (Not contacted, Invited, Partner, Paused, Ended), visits and sign-ups, and donations. When a PTA accepts the terms, the status becomes Partner and you get an email.
When a new family registers for a camp from the school's page, a donation is recorded under Donations. When you pay it, press Mark paid. The school's breaks come from your Calendar.
District cards at the top open school research: enrollment by grade, a map and PTA links.
Troubleshooting
No schools in the list. Set the gym's location first. If the school directory does not answer, type the school's name.
The PTA asked to stop. Their page has "Not interested?" and records it. The row shows "asked not to be emailed" and no more invitations go out.
Questions
How is the donation worked out?
You choose a percentage of the family's first camp (before tax) or a flat amount per new family. It counts only for families who have never been your customers, once per family.
Do I see families' names?
No. The donations list shows each new family's first camp, never names.
Who writes the agreement?
The terms are on each school's PTA page. The PTA accepts them there. Have your attorney look them over once.
