How do I give a free class or open gym as a thank you?

Open the customer's contact, find Give a comp, pick what and why, write your message and press the button. They get an email; the desk sees why at check-in.

Where: Front desk > Comps, and Customers > Contacts > a contact

Who can do this: Owners, Managers

A comp is a free class or open gym you give to say thank you or sorry. The customer gets an email with your personal message, and your front desk is told at check-in why it was given so they can say thanks in person.

Before you begin

  • The contact needs an email address so you can tell them. If not, the form says to add one first.
  • Owners and managers can give comps and see the Comps page.

Steps

Give a one-off comp

  1. Open the person under Contacts, and find the Give a comp card.
  2. Choose What (A free class or A free open gym) and How Many (1 to 3).
  3. Pick Who It's For (the contact or one of their children).
  4. Fill in Why (for your staff; shown at check-in, not sent) and Your Message (in the email).
  5. Press Give the comp and email the person's first name.

Give a lifetime comp

  1. In the same card open Lifetime comp.
  2. Tick the box ("... never pays for"), choose Classes and open gym, Classes only or Open gym only, and give a Why (for example Founding member or Coach's family). Press Save.

See all comps

  1. Open Comps under Front desk. It lists lifetime comp customers and the comp visits of the last 12 months by month, with their value at your drop-in rate.
  2. Press Download every comp visit (CSV) to export them.

What you'll see

  • The customer gets an email: "A free class at your gym, on us", with your message and a note to tell the front desk their name.
  • At check-in the comp is offered as Check in with the comp, with your reason. A lifetime comp customer sees Check in (lifetime comp). It is used like a class pack, and the visit is recorded with no charge.
  • After a one-off comp is used, the customer gets a thank-you email about 90 minutes after the class ends (never late at night). Lifetime comp customers do not get it.

Troubleshooting

I do not see the Give a comp card. You need to be an owner or manager. The Comps page also says only an owner or manager can see comps.

The email did not send. The message says the comp was given but the email could not be sent. Tell them in person.

I want to see what a comp looks like in Check-in. Check the person in on Check-in; the comp is one of the buttons.

Questions

Does the customer see my reason?

No. The reason is for your staff and shows at check-in. Only your message goes in the email.

Does a comp go to QuickBooks?

No. No money changes hands, so nothing is sent. The Comps page keeps a record with each visit's value at your drop-in rate, for your accountant.

Is a comp a tax deduction?

Free classes generally cannot be written off as a donation in the US. This is not tax advice; ask your accountant how to handle comps.
