How do I find students and families, and email a group?
Open Programs > Students and families, set filters (type, class, age, balance), press Show, then tick rows to email, print the list or download a CSV.
This page lists every athlete booked at your gym (one row each) or every family (one row per email). It answers questions like "which 6-year-olds are on a free trial?" or "who owes money?"
Before you begin
- All staff can see the list and print it. Emailing a group and downloading the CSV are for owners and managers.
- An athlete appears once a family books a class, trial or drop-in, or you add them on Bookings. Contacts with a guardian but no booking show as "On file, no class here yet."
Steps
- Open Students and families. Use the Students and Families tabs to switch the list.
- Set any filters you need:
- Search by name, email or phone
- Active on Date
- Level or Program, Class, Location
- Age from-to
- Birthday Month, Gender, School Grade
- Balance (Owes money or Overdue) and Owes at Least ($)
- Enrollment Type: Active (monthly or session), Free trial, Drop-in, Waitlist, Inactive, and On file, no class here yet
- Press Show. Reset Filters clears them. The list shows 100 rows per page.
- To act on people, tick rows, then use:
- Email these families, which opens the Emails page with those families
- Email all N that match, for every row the filters match, not only the ticked ones
- Print this list
- Download CSV
What you'll see
Student rows show the name, age, the classes they are in, the parent, phone and email. A name links to the contact page when there is one. Families show guardians, phones, email, athletes and balance.
Troubleshooting
Nobody matches. Loosen the filters. By default the list shows active, trial and drop-in athletes; tick the other types to include waitlist or inactive.
I cannot email or download. Those two buttons show for owners and managers only.
Questions
Is there a button to move a student to another class?
No. Students and families is a list for finding and contacting people. To change what a family pays for a monthly class, use their membership under Programs > Memberships.
Where does the age come from?
From the child's birth date in Contacts when there is one, otherwise from the age typed when they booked.
Why is a family's balance shown?
It adds up memberships with a failed payment and open invoices. For owners, the balance links to the family's ledger.
