How do I move my memberships and passes from Pike13?

Export from Pike13, upload at Programs > Memberships > Move from Pike13, review the preview, then import. Families add their card from an email you send.

Who can do this: Owners

The Pike13 mover reads Pike13's plan and pass export, matches your plans, creates the memberships, and walks you through the switch-over family by family.

Before you begin

Only owners see this tab.
Connect Stripe under Settings before the real import.
Do not stop Pike13 billing for a family until they have added their card here.

Steps

1. Export from Pike13

In Pike13, click the Reporting icon (the bar chart at the top right) and choose Reporting.
Under Client Passes & Plans, open Currently Available by Plan Name and switch to Details. Leave the Available? filter on.
Click Export, choose Comma Separated (CSV), and click Export.
Pike13 emails you a link when the file is ready. Click download in that email.

2. Upload and preview

Open Memberships and press the Move from Pike13 tab.
Under 2. Upload the file choose your file in Pike13 Export (CSV or Excel) and press Upload and preview.
In Check the plans, match each Pike13 plan to one of your NinjaHQ plans (the match is guessed from the name). In Passes, choose Import or Don't import for each. The preview also lists issues such as no email, past due or on hold.

3. Test or import

Press Keep as a test run to look without changing anything.
Press Import for real to create the memberships and class packs. It runs in batches and shows Importing..., then Continue if more remain.

4. Switch over

In the Switch-over box:

Press Send me a sample first to see the email yourself.
Press Email N families to add their card to send it. After two days, Send a reminder goes to those who have not added one.
When a family has added their card, stop their billing in Pike13, then tick Pike13 billing stopped for them.

What you'll see

Imported memberships are marked as coming from Pike13 and start as waiting for the card. Multi-visit passes come across as class packs with their visits left. Single visits are skipped by default.

Troubleshooting

"Only owners can move memberships from Pike13." Sign in as an owner.

The preview shows an issue for a family. Import the rest, then add that family by hand with Start a membership once you have their email.

Questions

Can I try it without changing anything?

Yes. Press Keep as a test run to see what would come across. Nothing changes until you choose Import for real.

Are families charged when I import?

No. Imported memberships wait for each family's card. Nothing is charged until their first payment date, and no emails go out until you press the email button.

What do I need to import for real?

Your Stripe account connected, because the new memberships bill by card through Stripe.

Is it safe to run twice?

Yes. A later export only adds what is new.
