How do I handle a request to see or delete someone's information?

Open Settings > Privacy. For a deletion, press Delete their data. For other requests, reply by email and press Mark done. The law gives you 30 days to answer.

Where: Settings > Privacy

Who can do this: Owners

Families can ask to see, correct or delete their personal information, and privacy laws give you 30 days to answer. Requests land on this page.

Before you begin

  • You must be an owner. Owners are emailed when a request arrives and a "Needs you" item shows on the Dashboard.
  • Requests from people without an account arrive through the contact form under "Privacy request".

Steps

  1. Open Privacy. Waiting requests are listed first, each with the kind of request, the person's message, their email, when they asked and the status Waiting.
  2. Delete my account and data: press Delete their data. A window explains what happens. Press Delete their data again to confirm.
  3. See my information, Correct my information or Other privacy request: reply to the person by email. Their address is the Reply-To of the request email, and also a link in the table.
  4. After you reply, press Mark done and confirm.

What you'll see

  • After a deletion the person gets one last email confirming it, and the request shows Done with the date and who closed it.
  • The deletion removes their account, names, contact details, notes and reasons. Paid registrations and purchases stay as anonymous payment records. Upcoming registrations are deleted without a refund. It cannot be undone.
  • The person also received a receipt when they asked, saying you will answer within 30 days.

Troubleshooting

The buttons are missing. Only owners can act on requests.

I do not know whether the person owes me a refund. Check their registrations and refund any that are owed before you delete their data.

Questions

What gets deleted?

The person's account, names, contact details, notes and reasons at your gym. Paid registrations and purchases stay as anonymous payment records, because tax rules require them.

Do refunds happen automatically?

No. Upcoming registrations are deleted without a refund, so refund them first if one is owed.

What about signed waivers?

They are legal records. They are kept until the date in your privacy policy and then deleted automatically.
