Payments, refunds and Stripe
Stripe setup, payments, refunds, payouts, sales tax and QuickBooks.
- How do I connect Stripe to take online payments?Open Settings > General, find Payments, and press Create a Stripe account or Link my Stripe account. Money goes straight to your own Stripe account.
- What should I set up in my Stripe account?Follow the Stripe setup guide: download your icon and logo, copy your public details, add your bank for payouts and turn off Stripe's duplicate customer emails.
- Where do my payouts go, and how do I see them?Stripe pays your sales to your bank on the schedule you chose. See each payout and its fees in your Stripe Dashboard under Balances > Payouts.
- How do I find a payment or see all my sales?Open Customers > Payments for every purchase in one list. Filter by dates, type, name or refunds, and press Download CSV to take the list to your accountant.
- How do I refund a payment?Open the competition roster, camp sign-up or party and press Refund through Stripe or Refund. Anything else is refunded in your Stripe Dashboard.
- How do I approve or decline a refund request from a family?Open Programs > Refunds. Press Approve to send the money back through Stripe and email the family, Decline to explain why, or Reply for a general question.
- Can I cancel my registration and get a refund?Before the competition starts, press Cancel & refund on your registration in My account for an automatic refund. After it starts, press Request a refund.
- How do I turn on sales tax?Set up Stripe Tax in your Stripe account, then open Settings > Sales tax, choose tax on top or included, tick the box and press Save. Stripe works out the tax.
- How do I connect QuickBooks Online?Open Settings > QuickBooks, press Connect to QuickBooks, choose your company, then Set up the usual accounts for me and Save. Daily totals go out each night.
- What does NinjaHQ send to QuickBooks, and what if a day fails?Each finished day becomes receipts with totals per product line, numbered NHQ-date plus ON, DC, DH, DO or RF. Open a day to see it; press Send now to retry.
- How do I reconcile Stripe payouts in QuickBooks?NinjaHQ records sales into Stripe Clearing. When a Stripe payout lands in your bank feed, split it: gross to Stripe Clearing, the fee to Merchant fees.
