How do I print the volunteer schedule and check volunteers in?
On the Volunteers page press Print the schedule for a day-by-day sheet, CSV for a spreadsheet, and tap Here beside each volunteer as they arrive.
Before the day, print who is helping when. On the day, tap Here as volunteers arrive so you can see who is missing.
Before you begin
- Volunteers must have signed up. The setup is in set up volunteer sign-up.
Steps
Print the schedule
- Open Competitions, press the competition, then Volunteers.
- Press Print the schedule. The sheet is grouped by day and shift, showing for each job the time, role, where, volunteer, phone and a box for Here. Open spots show as "Open". The wave times are listed at the top of each day.

Check people in
- Open the Volunteers page and scroll to Check-in (the Check-in button near the top jumps there).
- Press Here beside a volunteer when they arrive. The button turns to ✓ Here; press it again to undo.
- Owners can also press Remove to take a volunteer off a shift. Confirm in the box.
What you'll see
- The top of the page counts volunteers, spots filled and spots open. The Who's Signed Up grid shows each shift and job, with gaps highlighted and "N needed".
- The check-in list shows each volunteer's time, role, place and phone number. It is meant for competition day.
Troubleshooting
The print sheet is empty. No shifts exist yet, or nobody has signed up. Open spots still print as "Open".
A volunteer wants to change their shift. They can use the link in their confirmation email. You can also remove them and they can sign up again.
Questions
Can front desk staff check volunteers in?
Yes. In front desk mode the Volunteers page shows only the check-in list, with the Here buttons.
Is the volunteer told if I remove them?
No. Removing a volunteer from a shift does not email them.
