How do I get families to fill in their athlete's missing details?

The Who's Coming page on your website looks best when athletes have a home gym, a photo or avatar, and optionally a ninja name and Instagram handle. The Athlete info card on each competition shows what has been filled in and how the follow-up emails are doing.

Before you begin

• Only owners can change the follow-up settings or send reminders. The card shows for competitions that have at least one athlete.

Steps

Read the card

1. Open Competitions, press the competition, and press Athlete info in the jump menu.
2. The top line shows how many athletes there are, how many are complete, how many are missing something and how many have been emailed.
3. Filled in now lists each detail (Home gym, Photo or avatar, Ninja name, Instagram) with a bar and a count.
4. Follow-up emails lists each round: how many were emailed, how many opened the form, how many saved it, and how many details were filled in since. Press By detail, and how these are counted for the breakdown.

Turn on automatic follow-ups

1. At the bottom of the card press Follow-up settings.
2. Tick Email families automatically before every competition when an athlete's details are missing.
3. Set First Ask, Days Before (5 to 30), Last Call, Days Before (2 to 7) and Send at (Hour, 9-20). The last call has to come after the first ask.
4. Press Save. The card then shows "Automatic: on" with the dates.

Send a reminder right now

1. Press Email a reminder now.
2. In the box press Send. Every family whose athlete is still missing something gets one email asking only for what is missing. Anyone emailed in the last 2 days, or already 3 times, is skipped.

What you'll see

Families get a short email with a link to a form on your website. Their answers appear in the Registrations grid, where a missing detail shows a red "Missing" cell, and on Who's Coming. If you tick Missing Info Only in the grid you can see who is left.

Troubleshooting

The Athlete info card is not on my competition page. It only appears for ninja competitions with athletes registered.

The Email a reminder now button is missing. It only shows to owners, before the competition starts, and when someone is still missing something.

A round says "not kept". Rounds sent before NinjaHQ started keeping these numbers only show how many were emailed.
