How do I import my customer list from another system?
Owners open Customers > Import, export the list from Pike13, OC Advantage or a spreadsheet, upload it, check the preview and press Import. You can undo it.
Import brings your customer list over from the system you used before, so families do not have to start from zero. You do it once when you move, and again if you want to refresh from a new export.
Before you begin
- You must be an owner.
- Export your list from the old system first. The Import page shows the exact steps for Pike13 and for OC Advantage or GoHighLevel; any other system works if it can export a CSV or Excel file with a name, email and phone column. Files from iClassPro are recognized too.
- Keep the file free of filters so every customer is included.
Steps
- Open Import from the Customers menu.
- Under 1. Export your list, open the section for your old system and follow the steps in it.
- Under 2. Upload the file, choose your export in Your Export (CSV or Excel) and press Upload and preview. Nothing is saved yet.
- On Check before importing, read the summary:
- how many contacts are New and how many are Already here
- how many have an email and a phone, and how many are children reached through a guardian's email
- Cleaned up: email typos fixed, phones put in one format, names written properly
- Tags found, Columns we used and the first few contacts as they will appear
- If it looks right, press Import (the button shows the number of contacts). A progress bar runs; keep the page open until it finishes.
- If the import corrected email addresses, a link to Email fixes appears so you can review them. See How do I review the email addresses NinjaHQ fixed?.
What you'll see
- The new people in Contacts, with tags carried over and a note of where they came from.
- Anyone the old system marked do-not-contact or unsubscribed is never emailed. Anyone who said stop to texts stays opted out of texts.
- Everything else in the old file that we do not have a column for is kept on the contact page under "From" the old system's name.
- Under Earlier imports you can see each import with its status, and Undo it. An import stopped part way shows Continue.
Troubleshooting
The preview says a lot of emails are not valid. Those contacts are kept, marked as needing a check, and nothing is emailed to a bad address. Fix them from Contacts using the Needs checking filter.
The upload does nothing. Use a .csv, .tsv, .txt or .xlsx file. If it is very large, wait; the browser compresses it before sending.
I imported the wrong file. Press Undo next to it under Earlier imports, then import the right one.
I do not see Import. Managers and staff cannot use it. Ask an owner.
Questions
Will importing email my customers?
No. Importing never sends an email. It also never signs anyone up for your news emails unless the old system's file clearly says they opted in.
What if someone is already in my contacts?
They are matched by email so nobody is added twice. Details that are blank here get filled in and tags are added; nothing you already typed is overwritten.
Can I undo an import?
Yes. Under Earlier imports, press Undo. The contacts that import added are removed; contacts that were already here keep their details.
Can a manager import?
No. Importing is for owners only.
