How do I read the Hours report and set overtime and pay rates?

Owners open Front desk > Hours report to see hours, overtime and estimated pay for any pay period by person, role and day, then print it or download a CSV.

Where: Front desk > Hours report

Who can do this: Owners

The Hours report adds up what your team worked over a pay period, so you can run payroll, watch overtime and see what labor costs. Fixes happen on Timesheets; this report is for reading and exporting.

Before you begin

Steps

To read a pay period

  1. Open Hours report under Front desk.
  2. Use ← Previous and Next → to move between pay periods, or set From and To for a custom range (up to 93 days) and press Show.
  3. Narrow it by Role or, if you have several locations, Location.
  4. Read the tiles: Total hours, Regular, Overtime, Double time (when it applies), Estimated pay (when rates are set), People, Shifts and To look at.
  5. Under On the clock now, see who is working, and who is close to 40 hours this workweek.
  6. Switch between Summary (by person, by role, hours by day, by location) and Every shift (each shift with its edit history and weekly subtotals). In Every shift, pick a Person to see just them.

To export or print

  1. Press Summary CSV or Detail CSV to download, or Print.

To set your pay period, overtime rule and pay rates

  1. Open Report settings: pay period, overtime and pay rates at the bottom.
  2. Choose Pay Period: Every week, Every two weeks, Twice a month (1st-15th, 16th-end) or Every month. For every two weeks, set First Day of a Two-Week Period.
  3. Choose the Overtime Rule: over 40 hours a week (federal), California, or no overtime.
  4. Set Flag Shifts Longer Than (Hours) to the length you want to look at.
  5. Under Hourly Pay Rates, type each person's rate, such as 15.00.
  6. Press Save settings.

What you'll see

  • The To look at count flags shifts that are open, clocked out automatically, edited, have a location warning, run over your long-shift limit, or lack a break on a long shift.
  • Estimated pay is the hourly rate times regular hours, plus 1.5 times overtime and 2 times double time. It is an estimate, not payroll.
  • Overtime is worked out across a full workweek, so a pay period that starts mid-week still counts earlier days toward 40.

Troubleshooting

Overtime looks wrong. Check the Overtime Rule in the report settings at the bottom.

A person has no estimated pay. No rate is set for them, or they are salaried.

I need to fix a shift. Press Edit on Timesheets on the shift in the Every shift view.

Questions

Can I change a shift from the report?

No. The report is read only. Each shift has an Edit on Timesheets link that takes you to the right week.

Who sees pay rates?

Only owners. Leave a rate blank for someone who is salaried and they will have no estimated pay.

Which overtime rule should I choose?

Federal is the default: over 40 hours in a week. California counts over 8 hours a day, double time over 12 a day and the 7th day in a row. Choose No overtime if you do not want it split out.
